How to Use Multicast Paging to Reach Sales Associates
Introduction
This guide is designed for the receptionist at Beyer Subaru to efficiently use the multicast paging system. This system allows you to broadcast a message to all sales associates simultaneously, ensuring that customer calls are promptly attended to by available personnel. When you page, the message is played through the sales associates' phone speakers. The process involves placing a customer on hold in Park 1 or Park 2, and then paging all sales associates to pick the call from the designated park slot.
Parking a call allows you to hold a call in a virtual spot and retrieve it from another extension.

Instructions
Step 1: Receiving a Customer Call
- Answer the incoming call as usual with a professional greeting.
- Determine the caller's need and confirm that they wish to speak with a sales associate.
Step 2: Placing the Caller on Hold
- Inform the caller that you will be placing them on hold momentarily to connect them with the next available sales associate.
- Press the button for either Park 1 or Park 2 on your phone to place the caller on hold in that slot. These buttons are typically located on your phone's interface and are clearly labeled.
Step 3: Paging Sales Associates
- Once the caller is securely on hold, locate the PAGE button on the left-hand side of your phone. This button is labeled as "PAGE" and is dedicated to initiating a multicast page.
- Press the PAGE button. This action will mute your microphone to prevent any unintended noise from being broadcasted.
- After pressing the PAGE button, you will hear a beep or tone indicating that the paging system is ready for you to speak.
Step 4: Broadcasting Your Message
- Clearly state your message into the phone's microphone. For example, "Attention all sales associates, there is a customer waiting on Park 1 (or Park 2). Please pick up the call."
- Be concise and clear, ensuring that the message is easily understood by all sales associates.
- Once you have finished your announcement, you can hang up the call or press the PAGE button again to exit the paging mode.
Step 5: Sales Associate Picks Up the Call
- A sales associate will press the Park 1 or Park 2 button on their phone, depending on the instructions you provided, to connect with the waiting customer.
- The sales associate can then proceed with the customer's request or query.
